Traveler Terms & Claims Policy

These terms explain the luggage service, your responsibilities, cancellations, and how loss, delay, or damage claims are handled.

Effective 11 September 2026Policy version 2026-09-11

1. Service and confirmation

A booking is a request until Flex Carrier confirms route, capacity, safety, locations, and timing. The exact Flex Point and narrower handoff time may be supplied after confirmation. Only paid, confirmed bookings reserve capacity.

2. Your responsibilities

Provide accurate contact, itinerary, flight, bag-count, and size information. Close and identify each bag, keep your booking reference and PIN secure, arrive within the confirmed window, and disclose unusual, fragile, or oversized items before payment.

3. Items we do not accept

Do not place illegal or dangerous goods, weapons, explosives, flammables, cash, negotiable instruments, passports, irreplaceable documents, live animals, perishables, or inadequately packed fragile or exceptionally valuable items in checked luggage. Keep medicines, keys, travel documents, and essential electronics with you unless Flex Carrier expressly agrees otherwise in writing.

4. Custody and handoff

Custody begins only after an authorized handoff is verified and recorded. A PIN, tag, scan, photo, signature, or identity check may be required. Custody ends after verified return to the authorized traveler or approved recipient.

5. Timing, changes, and delays

Requested windows are not exact arrival times. Flex Carrier may adjust a route or offer a compatible alternative for safety, capacity, traffic, weather, flight disruption, or partner availability. We will use the contact method selected at booking for material operational changes.

6. Cancellation and refunds

For a future booking, a customer cancellation after payment but before custody begins receives a 50% refund. After custody begins, customer cancellations are nonrefundable. If Flex Carrier cannot safely fulfill the confirmed service and no suitable alternative is accepted, the affected service is fully refunded. Same-day and custom requests remain subject to the specific terms shown before payment.

7. Loss, damage, and delay claims

Notify Flex Carrier as soon as reasonably possible—ordinarily within 7 calendar days after delivery or the expected delivery time. Include the booking reference, bag tag, contact details, description, photographs, and repair, purchase, or replacement evidence when available. Keep the bag, packaging, tags, and receipts while the claim is reviewed. A late report does not remove rights that cannot lawfully be waived.

8. How claims are assessed

Flex Carrier may review custody scans, handoff records, photos, messages, partner records, and reasonable proof of value. Where Flex Carrier failed to exercise reasonable care, compensation is based on proven direct loss and reasonable repair or replacement value, considering age, condition, and depreciation. Nothing excludes liability that cannot be excluded under Japanese law, including liability arising from intentional misconduct or gross negligence.

9. Uncollected luggage

Contact us immediately if you cannot collect on time. Continued storage, redelivery, or special handling may require a disclosed additional charge. Flex Carrier will take reasonable steps to contact you before treating luggage as unclaimed and will follow applicable law.

10. Privacy and records

Contact details, itinerary data, custody records, and necessary bag images are used to provide the service, prevent fraud, protect luggage, respond to claims, and meet legal obligations. Access is limited to authorized personnel and service providers as necessary.

11. Law and contact

Japanese law applies, while all mandatory consumer rights remain protected. Disputes are handled by courts with lawful jurisdiction. For urgent operational help or a claim, email flexcarrier.okinawa@gmail.com and include your booking reference.
